Creating Smart KPIs
How to create formulas to perform calculations using your existing Scorecard's KPIs.
Table of Contents
What is a Smart KPI?
Smart KPIs transform existing KPIs into variables that can be used to create formulas. They give you the power to automatically perform calculations on your Scorecard as you enter data.
Smart KPIs can use the following basic mathematical operators, including order of operations formulas with parentheses:
- Addition
- Subtraction
- Multiplication
- Division
Permissions: Only users with the role of Manager and above can add or edit Measurables to the Scorecard, including Smart KPIs.
Creating a New Smart KPI
To create a new Smart KPI:
- Click Data from the left navigation.
- Click ⨁ (Add or Create KPI).
- Click ✏️ Create and Add a New KPI.
- Name and describe the KPI.
- Toggle on Smart KPI.
- Create your formula by adding existing KPIs from your Scorecard, numeric values, and mathematical operators.
- Enter a goal for your Smart KPI.
- Click Save.
Smart KPI Features
Click through the tabs below to learn about Smart KPI features.
Adding KPIs as Variables
The core of Smart KPIs is the ability to utilize your standard Measurables as variables.
Example: You are already capturing “Sales” and “Cost of Goods Sold” on your Scorecard and want to generate “Gross Profit” automatically. The following directions follow this example.
- Click Data.
- Click the plus sign next to the time interval listed (Weekly, for example).
- Click Create and Add a New KPI.
- Name the KPI “Gross Profit.”
- Toggle on Smart KPI.
- Click the Add KPI button.
- Search for and click your existing “Sales” KPI.
- Select the subtract operator.
- Click Add KPI.
- Search for and click your “Cost of Goods Sold” KPI.
- Create a Goal.
- Optional: Assign the KPI's Owner.
- Click Save.
Adding Numbers as Constant Variables
Constants allow you to treat numbers the same for each calculation.
Example: You want to calculate a “daily average” by dividing your Weekly KPI by seven.
- Click Data.
- Click the plus sign next to the time interval listed (Weekly, for example).
- Click Create and Add a New KPI.
- Name the KPI “Daily Average.”
- Toggle on Smart KPI.
- Click Add KPI.
- Search for and click your existing “Weekly Sales” Measurable.
- Click the division operator.
- Click Add Number.
- Enter the number seven (7) and click the checkmark.
- Create a Goal.
- Optional: Assign the KPI's Owner.
- Click SAVE.
Clearing the Smart KPI Formula
There are two options for deleting aspects of your Smart KPI formula.
- Click the Backspace button in the window to remove one element at a time, starting from the end of the formula.
- Click the X (Clear All) button to empty the formula field.
Adding an Existing KPI to Your Team's Scorecard
To select any KPI your company has created and add them to your team's Scorecard:
- Click Data from the left navigation.
- Click on the desired timeframe from the options shown below the filters bar (for example, Weekly).
- Click ⨁ (Add or Create KPI).
- Click + Add an Existing KPI.
- Check the box of the KPI(s) you want to add.
- Click SAVE.
Manual Score Override
When “Manual Score Override” is toggled on, manually entered scores will override calculated scores. If toggled off, manual scores will be ignored and only show calculated scores.
If Manual Score Override is toggled off when converting an existing KPI into a Smart KPI, all previous data will be overwritten by the calculated scores.
