How to Manage Billing, Licensing, and Payments in Ninety

Ninety uses a per-user licensing model. Each active user with a paid role counts as one license, and your total license count determines your bill for each billing cycle. Owners and Admins can access billing settings to manage licenses, update payment methods, view invoices, and change subscription plans. This article provides an overview of how billing works and links to detailed guides for each task.

How Ninety's billing works

Ninety bills your company based on the number of active licenses on your account. Each user with a paid role (Owner, Admin, Manager, or Team Member) consumes one license. Users with the Observer or Inactive role do not require a paid license.

Subscriptions are available on a monthly or annual billing cycle. We offer annual subscriptions at a 10% discount compared to monthly billing. Ninety processes all payments through Stripe.

For a full breakdown of which roles require a license, see Adding, Removing, and Reassigning Licenses.

Accessing the billing page

To open your billing settings:

  1. Click your profile icon at the bottom of the left navigation.
  2. Click Billing from the popup menu.

The billing page shows your current plan, your license count (total, assigned, and available), and three actions:

  • Explore Plans. Compare subscription tiers or switch between monthly and annual billing.
  • Manage licenses. Adjust your license count up or down.
  • Manage Billing. Update your payment method, billing contact, billing address, and view invoice history.

Note: Only users with the Owner or Admin role can access Billing settings. If you don't see billing options in your account, contact your Owner or Admin.

What you can do from the billing page

Each of the following tasks has its own detailed guide.

Manage your licenses. Add licenses when your team grows, remove them when users leave, and reassign them when you replace a team member. Deactivating a user does not automatically reduce your license count; you must also lower the count on the billing page. → Adding, Removing, and Reassigning Licenses.

Update your payment method. Add or change a credit card, connect a US bank account through ACH, and resolve failed payments. → Updating Your Payment Method.

View invoices and receipts. Access your invoice history, download PDF receipts, and update who receives invoice emails. → How to Manage Invoice Receipt and Access in Ninety.

Change your subscription plan. Upgrade, downgrade, or switch between monthly and annual billing. → Changing Your Subscription Plan.

Understand prorated charges and credits. Learn what you'll be charged (or credited) when you add users, remove users, or change plans between billing cycles. → Understanding Prorated Billing and Credits.

Review annual renewal reminders. Learn when Ninety sends renewal reminder emails, who receives them, and what to review before your annual subscription renews. → Renewal Reminder Emails for Annual Subscriptions.

The following articles cover billing-related tasks that live in other sections of the help center.

Billing contact and address

The billing contact is the email address that receives all invoices, receipts, and billing-related communications (including annual renewal reminders). This is a separate field from any user's personal email address in the Directory.

To update the billing contact email or billing address:

  1. Click your profile icon at the bottom of the left navigation.
  2. Click Billing from the popup menu.
  3. Click Manage Billing.
  4. Click Update Information under the Billing Information section.
  5. Edit the billing contact email or address fields.
  6. Click Save.

Only Owners and Admins can change billing contact information. If the person who originally set up billing has left the company, see How to Transfer Account Ownership for instructions on regaining access.

Tax information

Ninety bills at the standard pricing rate plus applicable sales tax based on the zip code on your account. Local tax rates vary.

If your organization is tax-exempt, you can have sales tax removed from your invoices by submitting a valid exemption certificate. See Accurate Billing for Tax-Exempt Organizations for details.
