How to Create or Refine a Seat with AI-Assistance from Maz
Building a strong Org Chart starts with well-defined Seats. Teams often confuse people with Seats, list tasks instead of outcomes, and end up with gaps or overlaps.
Maz, Ninety's AI companion, brings a guided, conversational experience to Seat creation and refinement. Rather than staring at a blank text field, you engage in a focused dialogue with Maz to articulate what each Seat must own, how success is measured, and how the role connects to your company's Vision and goals. The result is a Seat built around outcomes that fits cleanly into your Org Chart.
Who can use this feature

Maz Seat Builder is available to users who have permission to edit Seats in the Org Chart:
- Admins have full access to all Maz Seat Builder capabilities.
- Managers can create new Seats and refine existing ones using Maz.
- Team Members and Observers do not have access to this feature.
Note: Maz Seat Builder is not available in our mobile app.
How to create a new seat with Maz

When you're adding a Seat to the Org Chart, Maz can guide you through defining its roles and responsibilities, so the Seat is built with clarity before anyone is ever placed in it.
- Initiate edit mode in the Org Chart. Navigate to your Org Chart and click Edit Chart.
- Create a new Seat. Click the + (plus) button to add a new Seat under an existing Seat. Select Generate with Maz from the options shown to initiate the Maz Seat Builder process.
- Complete the conversation. Reply to each question from Maz's guided Seat builder conversation flow. After Maz generates the Seat's roles and responsibilities, you can continue to adjust things by replying to Maz or clicking the Refine button for suggestions. When you're satisfied with the results, click the Insert Seat button.
How to refine an existing seat with Maz

Seats naturally change over time as the business evolves. Use Maz to clarify responsibilities, eliminate overlap, and ensure a seat reflects your current priorities. Here's how to refine an existing Seat's roles and responsibilities with AI-assistance:
- Initiate edit mode in the Org Chart. Navigate to your Org Chart and click Edit Chart.
- Select a Seat to refine. Hover over the Seat you want to refine to have a Refine with Maz call-to-action appear. Then, click Refine with Maz.
- Complete the conversation. Reply to each question and provide additional details as desired. After Maz generates the refined roles and responsibilities, you can continue to adjust things by replying to Maz or clicking the Refine button for suggestions. When you're satisfied with the results, click the Replace Existing button.
Tips and tricks for Maz Seat Builder
Maz works best when you come prepared to think about the seat from a business-needs perspective rather than from the perspective of who currently holds the role. Since Maz will generate the Seat's roles and responsibilities based on whatever information you provide, even if that's just the intended Seat title, we recommend providing additional context at the beginning or going through the refining process with Maz to ensure the Seat's details align with the Seat's function.
Consider these additional tips and tricks:
- Quickly add Seat holders. You can let Maz know who will be in the Seat you're creating, and it will automatically assign them.
- Focus on outcomes, not activities. Maz will prompt you to articulate what the Seat must accomplish, not just what the person in it does day to day. This distinction is what makes seats durable through turnover and growth.
- Provide context. Maz will help you build a Seat's roles and responsibilities based on its training data and the information you provide. Maz will not currently access other data from your Ninety account during this process.
