How to View, Update, and Manage Billing Information in Ninety
Managing your billing information in Ninety is essential for maintaining uninterrupted service and ensuring invoices reach the right contacts. This comprehensive guide covers viewing billing details, updating payment methods, changing billing contacts and addresses, accessing invoices, and managing license counts.
Ninety's billing system directly ties the number of licenses to active users with paid roles. Each active user occupies one license, while inactive users or those with "Observer" roles do not count toward paid license totals. No minimum number of licenses is required, and you can adjust license counts as your team's needs evolve.
Accessing Your Billing Information
You must be an Owner, Admin, or Implementer user to view and manage your account's billing details.
Follow these steps to review your billing information:
- Click your profile name or icon in the bottom left corner of the Ninety dashboard.
- Click
Billing from the popup menu. - Click Manage Licenses to adjust your license count; Billing Portal to update billing information; or Explore Plans to view our other subscription plans.
Updating Your Payment Method

From Billing settings, here's how to update your payment method through Stripe, our merchant of record. You can use a credit card or a United States bank account to pay for your Ninety subscription.
Adding or Changing Credit Cards
- Click your profile name or icon in the bottom left corner of the Ninety dashboard.
- Click
Billing from the popup menu. - Click Billing Portal and then Add Payment Method under the Payment Methods section.
- To update an existing payment method, select Update next to the current card.
- Enter your new payment details and save changes.
To connect your payment method to a bank account, review the following steps or watch the video below:
- Click your profile name or icon in the bottom left corner of the Ninety dashboard.
- Click
Billing from the popup menu. - Click Billing Portal and then Add Payment Method under the Payment Methods section.
- Click US Bank Account.
- Search for and select your specific bank.
- Agree to connect Stripe with your bank account.
- Click Connect account.
- Click Continue with Ninety.io.
Using the Billing Portal
Use the billing portal to update your billing information and view invoices.
Update Information
Updating the Billing Contact Email
The billing contact receives all invoices, receipts, and billing-related communications.
- Navigate to Settings > Billing > Billing Portal within Ninety.
- Click
Update Information under the Billing Information section. - Edit the billing contact email field.
- Save your changes.
Important: Only Owners and Admins can change billing contact information. If you need to transfer billing ownership to someone else, they must first be granted Owner or Admin permissions in Ninety.
Updating Billing Addresses
To update your account's billing address:
- Navigate to Settings > Billing > Billing Portal within Ninety.
- Click
Update Information under the Billing Information section. - Enter your new billing address details.
- Save your changes.
Your updated billing address will appear on all future invoices and receipts.
Accessing Invoices and Receipts
Viewing Past Invoices
To view a past invoice:
- Navigate to Settings > Billing > Billing Portal within Ninety.
- Find the Invoices or Billing History section.
- Here, you can:
- View all past and current invoices.
- Download PDF copies of receipts.
- Review payment history and transaction details.
Invoice Delivery
Invoices are automatically emailed to your billing contact email address each billing cycle. You don't need to manually retrieve them from the portal unless you need historical records.
Plans
Here's how to change between Monthly and Yearly subscription plans.

- Choose between the Monthly billing and Annual billing options.
- Review the changes.
- Click Confirm.

Cancel
To cancel your subscription:

Managing Licenses
Licenses determine how many paid user roles are active in the Directory.

- Click Confirm on the Confirm your updates page.
Permissions Review
Users with the role of Manager or higher can manage your account's licenses.
Understanding License Requirements
You cannot reduce your license count below the number of active users because every active paid role consumes a license. Consider the following when adjusting licenses on your account:
Increasing License Counts
When you invite new team members into Ninety:
- The system automatically increases your license count.
- No manual adjustments are necessary.
- License billing updates occur immediately when new active users are added.
Decreasing License Counts
First, manage user roles:
- Reassign users to the Observer role if they don't need paid functionalities.
- Make users inactive in the Company Directory if they no longer require access.
- Delete user accounts for employees who have left the organization.
Then, adjust licenses:
- Navigate to Billing settings and decrease the license count to reflect your active paid users.
- The system will prevent you from reducing licenses below your active user count.

Tax Information
Account holders are billed the standard pricing rate plus tax based on the zip code on file. Local sales tax may also apply.
Account Reactivation and License Management
If you've deactivated and later reinstated your Ninety account:
- You may find that all previously held licenses are still linked to your account.
- To match the reduced number of active users, contact the Billing Team for manual adjustment of licenses.
- After the adjustment is confirmed, refresh your Ninety instance to reflect accurate billing data.
Prorated Credits for License Changes
When you remove users and decrease your license count between billing cycles, Ninety automatically applies prorated credits to your account. These credits appear on your next invoice and reduce future charges.
How Prorated Credits Work
When you deactivate or delete a user mid-cycle:
- A prorated credit is automatically calculated based on unused time remaining.
- The credit appears as a line item on your next invoice.
- Credits are applied to future invoices, not issued as cash refunds.
- Monthly vs. annual subscriptions calculate credits differently.
When Credits Don't Apply
- License increases (you pay prorated charges instead).
- Account cancellations (no prorated refunds, as per our Terms and Conditions).
- Same-day license changes (minimal time difference).
Common Billing Scenarios
While troubleshooting, it may be helpful to review the following common billing scenarios.
Failed Payments
If a payment fails:
- Update your payment method immediately to avoid service interruption.
- Contact support if you need your account reactivated after resolving payment issues.
- Your data remains safe, but access to premium features may be limited.
Changing Subscription Plans
When changing from one subscription plan to another:
- Plan changes (Essentials, Thrive, Accelerate) can be made through the billing portal.
- Upgrades take effect immediately; downgrades typically apply at the next billing cycle.
- Pro-rated adjustments are applied when changing plans mid-cycle.
"Cannot Reduce License Count" Error
Problem: You're trying to reduce licenses but receiving an error message.
Solution:
- Check how many users currently have active paid roles in your Company Directory.
- Deactivate users or change them to Observer roles first.
- Then attempt to reduce your license count to match active paid users.
Billing for More Users Than Expected
Problem: You're being charged for more licenses than you think you need.
Solution:
- Review your Company Directory to identify all active users.
- Remember that only inactive users and Observer roles are free.
- All other role types (Manager, Managee, Admin, Owner) consume paid licenses.

Yes, you can change to annual or monthly billing by navigating to the settings pages and opening the billing section.

What types of payment are supported?
We accept Visa, Mastercard, American Express, Discover, Diners Club, JCB, and China UnionPay payments from customers worldwide.
ACH (direct payment through a bank account) is only available for US banks.
If I add a paid user in the middle of the pay cycle, when am I billed?
Payments are made for the next period ahead (monthly or yearly, based on your subscription).
So, your invoice shows your upcoming month’s charge plus any licenses added (or removed) in the previous months after the billing period ended.
Where can I enter tax-exempt details?
If you are tax-exempt, please notify Ninety and provide a certificate for validation. You can reach out to our Support team via chat or email or notify your Customer Success Manager.
Where can I see the status of my coupon?
The Stripe Customer Portal on our billing page details all coupon details.

Will I pay any merchant fees?
No, customers are never responsible for Stripe's merchant fees.
Can I extend my free trial if my team was unable to use Ninety during the trial period?
Yes, trial extensions are available in certain circumstances. Common reasons we grant extensions include office closures during holidays, unexpected business disruptions, or situations where your team couldn't fully evaluate Ninety during the standard 30-day trial.
To request a trial extension, contact our support team through the chat widget in your Ninety account or email support. Include your company name, the reason for your extension request, and how much additional time you need. Our team will review your request and respond promptly.
Note that trial extensions are evaluated on a case-by-case basis and aren't automatically granted. Reach out as soon as you realize you need more time, ideally before your trial expires.
How do I apply the All-In 30% discount when switching from monthly to annual billing?
The All-In discount gives you 30% off when you commit to annual billing with licenses for all full-time employees (30+ hours per week). Here's how to apply it:
If you're currently on a monthly plan:
- Click your name at the bottom of the left navigation.
- Click Billing.
- Click Explore plans.
- Toggle to Annual billing.
- Select your preferred plan (Essentials, Accelerate, or Thrive).
- Enter the discount code provided by our team during checkout.
- Update your payment information if needed.
- Review the total and click Confirm.
Important: When switching from monthly to annual billing, you'll see the annual charge for your current users before applying the discount code. Don't worry — once you enter the discount code at checkout, your total will reflect the 30% savings. You'll be charged the prorated amount for the remainder of your current billing period, then the full discounted annual rate at your next renewal.
If you're adding users after applying the All-In discount, the new users will automatically receive the same discounted rate for the remainder of your annual subscription.

What happens to my billing when I add or remove users mid-subscription?
Ninety uses prorated billing to ensure you only pay for what you use.
When you add users:
- You'll be charged a prorated amount for the new user based on the time remaining in your current billing cycle.
- For monthly subscriptions, the charge covers from the date you add them until your next monthly renewal.
- For annual subscriptions, the charge covers from the date you add them until your next annual renewal.
- The charge appears immediately on your payment method.
When you remove users:
- You'll receive a prorated credit applied to your Ninety account.
- This credit automatically applies to your next invoice.
- You can view available credits in your billing portal.
- For monthly subscriptions, the credit applies to your next monthly payment.
- For annual subscriptions, the credit applies to your next annual renewal or can be used when adding new users.
To verify your current license count:
- Click your name at the bottom of the left navigation.
- Click Billing.
- Review the "Active users" count shown in your subscription details.
If you see a discrepancy between your expected user count and what appears in billing, check for pending invitations or users who may have multiple accounts. Contact our support team if the numbers still don't match.
If I upgrade my plan mid-cycle, will I be charged immediately?
Yes, when you upgrade your subscription plan (for example, from Essentials to Accelerate or Thrive), you'll be charged immediately for the difference between your plans on a prorated basis.
Here's how it works:
For monthly subscriptions:
- You're charged the prorated difference between your old plan and new plan for the remainder of your current billing month.
- Starting with your next monthly renewal, you'll be charged the full price of your new plan.
For annual subscriptions:
- You're charged the prorated difference between your old plan and new plan for the remainder of your current billing year.
- Starting with your next annual renewal, you'll be charged the full price of your new plan.
What happens if my payment fails? Will I lose access to my account and data?
If a payment fails, Ninety's billing system automatically retries your payment method several times over the following days. You'll receive email notifications when a payment fails and before each retry attempt.
Here's our payment retry process:
Days 1-7: The system attempts to process your payment up to 9 times using your saved payment method.
Email notifications: You'll receive alerts at your billing contact email address after the initial failure and before your subscription is at risk of cancellation.
Grace period: Your team maintains full access to Ninety during the retry period, so you won't experience any service interruption while we attempt to process payment.
After final retry: If all payment attempts fail, your subscription will be downgraded to our free plan. Your data is preserved, but you'll lose access to paid features.
To update your payment method and reactivate your account:
- Click your name at the bottom of the left navigation.
- Click Billing.
- Click Update payment method.
- Enter your new payment information.
- Click Explore plans to reselect your subscription tier.
- Complete the checkout process.
Your account will reactivate immediately, and all your data will be intact. If you experience repeated payment failures, verify that your payment method has sufficient funds and hasn't expired. Contact your financial institution if problems persist.
Important: You won't lose your data during payment issues. We preserve all your information so you can pick up right where you left off once payment is resolved.
Can I get a refund if I cancel my annual subscription mid-year?
Refund eligibility for annual subscriptions is evaluated on a case-by-case basis. Ninety doesn't offer automatic prorated refunds for mid-year cancellations, but we understand that business circumstances change.
If you need to cancel your annual subscription before your renewal date, here's what to do:
- Click your name at the bottom of the left navigation.
- Click Billing.
- Click Cancel my subscription.
- Complete the exit form explaining your situation.
- Click Continue, then Cancel subscription.
After canceling, your account will remain active until the end of your current paid period. You'll retain access to all paid features until your subscription expires.
For refund requests: Contact our support team after canceling and explain your circumstances. Common situations we review for potential refunds include:
- Unexpected business closures or significant downsizing.
- Technical issues that prevented you from using the platform.
- Miscommunication about subscription terms or renewal.
Our team will review your request and work with you to find a fair solution. While we can't guarantee refunds for all situations, we're committed to supporting our customers.
Prevention tip: If you're unsure about committing to an annual subscription, start with monthly billing. You can always switch to annual billing later to take advantage of cost savings.
How do I apply the 50% non-profit discount to my Ninety subscription?
Ninety offers a 50% discount to qualified 501(c)(3) non-profit organizations. Here's how to apply this discount:
For new accounts:
- Start your free trial at ninety.io.
- Before your trial ends, contact our support team through the chat widget.
- Provide your organization's name and 501(c)(3) verification documentation.
- Our team will apply the discount code to your account.
- When you're ready to subscribe, the 50% discount will automatically apply at checkout.
For existing paid accounts: Contact our support team with your 501(c)(3) documentation, and we'll adjust your subscription and apply the discount going forward.
When adding users to a non-profit account: If your account already has the non-profit discount applied, new users you add will automatically receive the same 50% discount. You don't need to request the discount code again.
The non-profit discount applies to all subscription tiers (Essentials, Accelerate, and Thrive) and works with both monthly and annual billing.

- IRS 501(c)(3) determination letter, or
- Official documentation showing your non-profit tax-exempt status
Note: The 50% non-profit discount is separate from our tax exemption benefit. Eligible organizations can also avoid sales tax by providing appropriate tax exemption certificates to our billing team.
How do I access my Ninety invoices?
Ninety automatically sends invoices to your billing contact email address after each successful payment. You can also access invoices directly in your account.
To download invoices from Ninety:
- Click your name at the bottom of the left navigation.
- Click Billing.
- Scroll to the Payment History section.
- Click the download icon next to any invoice you need.
If you're not receiving invoice emails:
- Check your spam/junk folder for emails from Ninety.
- Verify your billing contact email address is correct in your account settings.
- Add our billing email address to your contacts to ensure future invoices aren't filtered.
To update your billing contact:
- Click your name at the bottom of the left navigation.
- Click Billing.
- Click Edit billing contact.
- Update the email address and save changes.
Only Owners and Admins can access billing information and download invoices. If you need invoice access but don't have these permissions, ask your account Owner or Admin to either download the invoices for you or update your user role.
