How to Use Zapier to Connect To-Dos from Ninety to Other Platforms
The Ninety Zapier integration lets you connect your To-Dos with over 7,000 apps in Zapier's ecosystem. You can build automations that create To-Dos when tasks appear in other tools, send notifications when To-Dos are updated, sync To-Dos with your calendar, or trigger actions in other apps when To-Dos are completed.
Each person on your team sets up their own Zapier connection, which means the automations work with their own To-Dos and the teams they belong to. This gives everyone the flexibility to design workflows that match how they actually work.
What you can do with Zapier
Zapier connects Ninety to other apps using "Zaps"—automated workflows that run when specific events happen. Each Zap has two parts: a trigger (when this happens) and an action (do this).
Triggers in Ninety:
- To-Do Created, Updated, or Deleted: Triggers when a To-Do is created, updated, or deleted.
- New Team: Triggers when a new Team is available.
Actions in Ninety:
- Create To-Do: Creates a new To-Do in Ninety with a specified title, description, due date, and team assignment
- Update To-Do: Updates an existing To-Do.
- Delete To-Do: Deletes an existing To-Do.
- Find Team: Find a Team by its ID (for use in subsequent Zap steps).
- Find To-Do: Find a To-Do by title or description.
Setting up your first Zap
Before you start, you'll need a Zapier account. Zapier offers a free plan that includes basic automations. Some workflows require a paid Zapier plan depending on the apps you're connecting and the number of tasks you run each month.
To connect Ninety to Zapier:
- Log in to your Zapier account at zapier.com.
- Click Create > Zaps from the left navigation.

- In either the Trigger or Action step of your Zap, search for Ninety in the app directory.
- Click Select in the Account section to connect your company in Ninety to Zapier.

- Authorize Zapier to connect to your Ninety account.

Once you've authenticated, Zapier can access your To-Dos and the teams you belong to. You only need to authenticate once — all future Zaps will use the same connection.

Understand permissions and access
Your Zapier automations respect the same permissions you have in Ninety. Zaps work with your own To-Dos and any teams you belong to or manage.
What you can automate based on your role:
- Admin: Can create Zaps for any team you administer.
- Manager: Can create Zaps for teams you manage.
- Team member: Can create Zaps for your own To-Dos and teams you belong to.
- Observer: Can use read-only triggers but cannot create, update, or delete To-Dos through Zapier.
Each person needs to set up their own Zapier connection. You can't create Zaps that assign To-Dos to other users — automations work within your own access and context. If you want your whole team to use the same workflow, each person will need to build and configure their own Zap(s).
Common use cases

- Keep To-Dos synced with project tools: Create To-Dos automatically when tasks are added in Monday.com, Asana, ClickUp, or Trello. Changes in one system can flow into the other, giving you one source of truth without manual updates.
- Trigger downstream work: When a To-Do is completed in Ninety, automatically create follow-up tasks in your CRM, update records in Salesforce or HubSpot, or log information in a spreadsheet.
- Send notifications to communication tools: Get alerts in Slack or Microsoft Teams when new To-Dos are assigned to your team. Surface accountability where people already pay attention without asking them to check another app.
- Sync with personal calendars: Create calendar events in Google Calendar or Outlook when To-Dos are assigned. Personal schedules stay connected to team commitments, and daily planning reflects weekly priorities.
