How to start and modify your team's weekly meeting on Ninety.

Weekly Team Meetings in Ninety provide a structured environment for teams to stay aligned, identify and solve issues, and track progress on goals. This article covers how to start, join, schedule, and modify your Weekly Team Meeting and provides an overview of the standard agenda.

 

For companies on the Essentials pricing plan, the Weekly Team Meeting agenda is the only option available in the Meetings tool. Each team can customize their version of the agena to fit their needs.

 

 

The Weekly Meeting Agenda

The default weekly team meeting agenda is designed for a 90-minute leadership team meeting. For a full breakdown of the weekly team meeting agenda, read our 90u Library brief.

Agenda

  1. Segue (5 minutes). A time to transition from working in the business to working on the business and a chance to connect as people, build trust, and improve team health.
  2. Data (5 minutes). Review, at a glance, the health of your team's Scorecards. Celebrate KPIs that are performing well and make an Issue of any that need to be discussed.
  3. Rocks (5 minutes). Offer a chance for each team member to declare their Rocks as on or off track. If any conversations are necessary, right-click the Rock and select Make it an Issue from the dropdown.
  4. Headlines (5 minutes). Read through team and company announcements together. Typically, Headlines do not require formal discussion, but if your team wants to discuss one further, right click it and make it an Issue.
  5. To-Dos (5 minutes). Most To-Dos are seven-day action items. Use this time to review the past-due or soon-to-be-due To-Dos. If any discussion is needed, just right-click the To-Do and make it an Issue.
  6. Issues (60 minutes). Resolving Issues is the primary purpose of team meetings. Issues are the problems, obstacles, ideas, or opportunities to discuss and solve as a team. 
  7. Conclude (5 minutes). You can use this time to recap next steps and additional action times. Before sending the team on their way, everyone provides their rating for the meeting.

 

Starting a Weekly Meeting

To start a Weekly Team Meeting:

  1. Click Meetings from the left navigation.
  2. Choose the intended team from the Team dropdown.
  3. Click the Start a Meeting button.
  4. Click Weekly Meeting from the agenda list.

Customizing Your Team's Weekly Meeting Agenda

There are two ways you can customize the Weekly Meeting agenda. The following options are available for companies on any of our paid pricing plans.

Customizing the Weekly Meeting Agenda for Your Team

Each team can customize their Weekly Meeting agenda to best fit their needs, time available, and tool usage. Users with Manager or higher permissions can adjust their team's agendas. Here's how:

  1. Click Meetings from the left navigation.
  2. Choose a team from the Team dropdown.
  3. Click the Agendas tab.
  4. Click the Weekly Meeting agenda.
  5. Customize the agenda by:
    1. Toggling on or off listed agenda sections.
    2. Click the pencil icon to edit a section's details.
    3. Click Add Custom Section to create your own agenda item.
    4. Click Add Tool Section to a Ninety tool to the agenda.
    5. Click and drag items to rearrange the agenda.
  6. Click Save Changes.

 

Many non-leadership teams do not need a full 60 minutes to discuss their Issues. We recommend reducing the Issue section of non-leadership team's Weekly Meeting agenda to 30 minutes to reduce the total time of their meeting to one hour.

 
 
 

Changing the Weekly Meeting Agenda for the Whole Company

An admin, owner, or implementer can use company settings to push a custom version of the Weekly Meeting agenda to all teams. Here's how:

  1. Click your name at the bottom of the left navigation.
  2. Click Company Settings.
  3. Click Meetings.
  4. Select Weekly Meeting from the dropdown.
  5. Adjust the meeting's agenda as desired.
  6. Click Save.
  7. Click More Options.
  8. Click Push to All Teams.
