Creating To-Dos

Overview and Types of To-Dos
Creating To-Dos in Ninety allows you to keep track of tasks or items that need to be completed by you or your team. There are two types of To-Dos: Team and Private. Each type of To-Do gives you the option to make it a repeating To-Do, saving you time by automatically creating the To-Do at your chosen cadence.
Team To-Do
A team To-Do is the default To-Do within Ninety. It allows your team to have visibility into your task items, their due dates, comments, and completion. These types of tasks are best for items that will be discussed and reviewed in team meetings.
Private To-Do
A private To-Do can be seen as more of a reminder of daily work you need to do. For example, if you need to follow up with Joe about a document review, you could create a Private To-Do to make sure it's completed, but the rest of the team doesn't need to see that you emailed Joe.
Creating a To-Do
No matter what tool you're using in Ninety, the Create button is in the upper right-hand corner, making it easy to create new items.
- Click Create in the upper right-hand corner.
- Select To-Do from the dropdown list at the top of the Create window.
- Click the profile picture icon to assign the item to one or more team members.
- Input details: name, due date, description, and team.
- Toggle on/off for Private To-Dos.
- Choose repeating cadence:
- Don't repeat
- Daily
- Weekly
- Monthly
- Quarterly
- Annual
- Click Create To-Do.
You can minimize the Create pop-up with the minimize button or by clicking the page behind the window. Click the expand or maximize button to resume editing.
Editing or Deleting a To-Do
Editing a repeating To-Do works the same as before; click the To-Do, and the window opens with the details that can be updated. When you delete a repeating To-Do, you can choose to delete this one occurrence or delete the series altogether.
Deleting a Repeating To-Do
To delete all occurrences of a repeating To-Do, you must delete it from the To-Dos page. If you delete it from the My 90 page, it only deletes the current To-Do.
- Click To-Dos from the left navigation.
- Find your repeating To-Do.
- Click the ellipses.
- Choose Delete from the drop-down options.
- Once you've selected Delete, it gives you the option to delete this occurrence or all.
- Select All.
Currently in Beta — Agreements-Based Team To-Dos
Agreements-based To-Dos are available for beta companies only.
What is an Agreements-Based To-Do?
Agreements-based To-Dos ensure accountability and transparency.
When a user assigns a To-Do to a team member, they enter a negotiation workflow where they must agree on the request's parameters — including the due date and any details listed in the description.
To-Dos created by and assigned to different users become agreements-based.
The following are not agreements-based:
- Personal To-Dos
- To-Dos created by and assigned to the same user
- To-Dos created by a Milestone
- Repeated To-Dos after the initial To-Do has been accepted
Negotiation Workflow
After creating a To-Do, its details card will show the profile photo of the stakeholders involved (the assigner and assignee). The assigner's profile photo will show a green and white checkmark, and the assignee's profile photo will show a grey and white clock icon indicating a pending status as they consider accepting the To-Do.
At the bottom of the details card, the assigned user will see the To-Do is pending. If they make a comment, adjust the description, or change the due date, the To-Do becomes pending for the original assigner.
Once both users agree and accept the To-Do, a green and white checkmark will appear on the profile photo of the To-Do's stakeholders.
Use the comments section to communicate with stakeholders or document progress without entering the negation workflow.
Disabling Agreements-Based To-Dos
Owners, Admins, and Coaches can disable Agreement-based To-Dos in Company Settings.
- Click your name from the left navigation.
- Click Company Settings (stay on the Configuration page).
- Scroll down to find the To-Dos section.
- Toggle off Agreement-Based To-Dos.
