Understanding user roles is essential for managing permissions and functionality within Ninety. This guide will help you view, verify, and modify user roles, including managing special roles like Implementer (Coach) and Owner roles.

 

Overview of User Roles in Ninety

Ninety uses role-based permissions to designate access levels and responsibilities for users. Each role provides specific capabilities within your account:

  • Owner: Full administrative authority over the company account, including billing access and complete control of company settings.
  • Admin: High-level permissions with visibility and editing access to most teams and tools.
  • Manager: Can create and organize content within their assigned teams and departments.
  • Team Member: Standard user access with the ability to update content within their teams.
  • Observer: View-only access to their assigned teams' tool and data without editing permissions.
  • Coach (Implementer): Special role associated with a free license, typically used for guiding or coaching teams, with permissions similar to Admins in most tools.

Viewing and Verifying User Roles

You can easily view user roles directly in the Ninety Directory:

  1. Navigate to the Directory from the left navigation menu.
  2. Locate user names in the directory list.
  3. The role access for each user is displayed to the right of their name in the Role Access column.

This visibility allows you to quickly verify your own role or those of others in your organization, making it easy to understand who has what level of access.

 

Modifying User Roles

Changing user roles requires appropriate administrative permissions. If you don't have the necessary permissions, you'll need to ask an administrator for assistance.

 

Changing a User's Role

To change or update a user role:

  1. Click Directory from the left navigation.
  2. Locate the user whose role needs to change.
  3. Click the Role access dropdown in their row.
  4. Select their new preferred user role.

Changes are saved automatically.

Important: If you encounter restrictions during this process, coordinate with an administrator who has full account control. Only users with sufficient permissions can modify certain roles, particularly Owner and Admin roles.

 

Permission Requirements for Role Changes

  • Owners: Can modify any user role in the account.
  • Admins: Can typically modify most user roles except other Owner roles.
  • Managers and below: Cannot modify user roles.

 

Special Considerations for Implementer and Owner Roles

Understanding the Implementer (Coach) Role

The Implementer (Coach) role is unique because it doesn't incur additional license fees. It is ideal for external coaches or EOS Implementers who need access to guide teams without impacting your subscription costs.

 

Transitioning from Owner to Implementer

If you are currently the Owner and wish to take the Implementer role, follow these essential steps:

Add a new Owner first:

  • Go to Directory > Add teammate.
  • Enter the required user details for the person who will become the new Owner.
  • Assign the Owner role from the role dropdown.
  • Complete the invitation process.

Verify the new Owner:

  • Ensure the new Owner has accepted their invitation and can access the account.
  • Confirm they have full administrative capabilities.

Request your role change:

  • Once an alternate Owner exists, coordinate with them to change your role to Implementer.
  • The new Owner can modify your role using the process outlined above.

 

Critical Note: Never remove the last Owner from an account without first establishing a new Owner. This setup enables you to support the account as an Implementer without retaining ownership responsibilities while maintaining account security.

 

 

Managing Multiple Owners

Your account can have multiple Owners if needed for administrative redundancy. Consider having at least two Owners to ensure account accessibility and management continuity.

 

Troubleshooting Role Management

Common Issues and Solutions

Issue: "I can't change a user's role"

  • Solution: Verify you have sufficient permissions. Contact an Owner or Admin to make the change if needed.

Issue: "The role change option is grayed out"

  • Solution: Some roles require specific permission levels to modify. Coordinate with an administrator who has the necessary access.

Issue: "I accidentally removed the only Owner"

  • Solution: Contact Ninety Support immediately for assistance in restoring Owner access to your account.
