Renewal Reminder Emails for Annual Subscriptions

Know when your renewal reminders arrive, who receives them, and what to do before your annual subscription renews.

How Annual Subscription Renewal Reminders Work in Ninety

Ninety sends automatic email reminders before your annual subscription renews. These emails give Owners, Admins, and your designated billing contact time to review license counts, confirm payment details, and make any changes before the renewal charge is processed. Monthly subscriptions do not receive renewal reminder emails.

 

When renewal reminders are sent

Ninety sends renewal reminder emails at two intervals before your annual subscription renewal date:

  • 30 days before renewal. This first reminder gives you time to audit your license count, update your payment method, or change your plan if needed.
  • 7 days before renewal. This second reminder is a final notice before the renewal charge is processed.
     

Only accounts on an annual subscription receive these reminders. If your company is on a monthly billing cycle, you won't receive renewal reminder emails.

 

Who receives renewal reminders

The following people receive the renewal reminder email at both the 30-day and 7-day intervals:

  • Owners.
  • Admins.
  • The designated billing contact email address.

All three receive the same email. If your billing contact email address belongs to an Owner or Admin, that person will receive only one copy (no duplicates).
 

What's included in the email

Each renewal reminder email contains the following information:

  • License summary. Your total number of licenses, including how many are currently assigned and how many are available.
  • Billing page link. A button that takes you directly to the billing page in Ninety.
  • Company name. Your company name appears in the email subject line so you can identify which account the reminder belongs to (helpful if you manage multiple Ninety accounts).
  • Sender. The email is sent from notifications@ninety.io. This is a no-reply address. Do not reply to this email; replies won't be received.
     

What to review before your renewal

Use the reminder emails as a prompt to review the following before your renewal date:

  • License count. Check whether you have unused licenses that you're paying for. If team members have left or been moved to Observer or Inactive roles, reduce your license count to match your active paid users. 
  • Payment method. Confirm your credit card or bank account on file is current. An expired or declined payment method can cause a failed renewal.
  • Subscription plan. If you're considering switching plans or changing from annual to monthly billing, make the change before your renewal date. Learn how in Changing Your Subscription Plan in Ninety.
  • Billing contact. Confirm that your billing contact email address is still correct. If the person who originally set up billing has left the company, update this field so the right person receives future invoices and reminders. Owners and Admins can update the billing contact from Billing > Manage Billing > Update Information.

 

Troubleshooting

Issue: You didn't receive a renewal reminder email. Solution:

  1. Check your spam or junk folder for emails from notifications@ninety.io.
  2. Add notifications@ninety.io to your email contacts or safe sender list to prevent future filtering.
  3. Confirm that the billing contact email address on your account is correct by navigating to Billing > Manage Billing > Update Information.
  4. Verify that your account is on an annual subscription. Monthly plans don't receive renewal reminder emails. Check your billing cycle on the billing page.
  5. If your account is annual and the billing contact is correct, contact support for assistance.
     

Issue: You received a renewal reminder but want to cancel before your renewal date. Solution:

  1. Click your profile icon at the bottom of the left navigation.
  2. Click Billing from the popup menu.
  3. Click Cancel subscription.
  4. Click Cancel Plan to confirm.

Your account will remain active until the end of your current annual period. You won't be charged again after cancellation. 
 

Issue: You want to reduce your license count before the renewal charge. Solution:

  1. Deactivate or delete any users who no longer need access, or change their role to Observer.
  2. Click your profile icon at the bottom of the left navigation.
  3. Click Billing from the popup menu.
  4. Click Manage licenses.
  5. Reduce the quantity to match your active paid users.
  6. Click Next, then click Confirm.

Your renewal charge will reflect the updated license count.
