Using the Directory

How to manage all the users in your Ninety account.

What Is the Directory?

Our Directory tool is the central location to manage all the users on your Ninety account. Use the Directory to:

  • Add users to Ninety
  • Change user roles and permissions
  • Assign users to teams
  • Deactivate users (remove their paid license)
  • Delete users (remove them from your account)
  • View user bios

Adding and Inviting Users to Ninety

 

Users with Manager or higher level permissions can invite additional users to Ninety. To add users to your account:

  1. Click Directory from the left navigation.
  2. Click the Add People button on the top right of the Directory page or Invite Teammates at the bottom of the left navigation.
    1. Use the Invite to Company tab to add the user directly to a team and assign them a user role.
    2. Use the Add to Directory tab to add people to your Directory.
  3. Input the necessary information.
  4. Click Add Another User to open another field.
  5. Click Invite to Company or Add to Directory.

 

Invited users need to accept the invitation from an email. Have the new team member check their email for the link to activate their account (from helpful@ninety.io). Users with a role above Observer require a license.

Adding to the Directory Only

 

To add someone to your Directory without applying a paid license or requiring them to create an account with Ninety:

  1. Click Directory from the left navigation.
  2. Click the Add People button on the top right of the Directory page or Invite Teammates at the bottom of the left navigation.
  3. Click the Add to Directory tab.
  4. Add their first and last name.
  5. Click Add to Directory.

 

Activating Users

The Activate button icon displays next to the names of people who have been added to your Directory but are not an active or paid user on the account.

Managers, Admins, Owners, and Coaches can:

  • Add the user to the Org Chart.
  • Click their name on the Directory to add details or a profile image.

Observers cannot be assigned an items, such as Rocks, To-Dos, Issues, or Headlines.

 

Inviting Users

When you invite a user to Ninety, we'll send them a link to click and create their account. You can invite a user following the directions above or by clicking the Invite button on a user who has only been added to your Directory.

Our email invitation links are valid for 14 days. If a user cannot find the email in their inbox, have them check their spam folder.

 

Re-Inviting Users

You can click Re-Invite to send someone an additional invitation email. If they've checked their spam folder and still can't find the email, double check the email address before contacting our support team with the chat bubble on the bottom right of your screen.

 

Updating a User's Email Address

You can update the email address of any user with a lower permissions user role than you.

  1. Click Directory from the left navigation.
  2. Click on a user.
  3. Click on the pencil icon in the top right corner of the pop-up.
  4. Add, edit, or revise their email address or other personal information.
  5. Click the checkmark in the top right corner to save changes.
 

 

Changing a User's Permissions Role

You can change the user role for anyone with the same role or one lower than yours. For example, Admins can change to user role of anyone except Owners.

To change a user's role:

  1. Click Directory from the left navigation.
  2. Locate the intended user (you may need to search for them first).
  3. Click the dropdown in the Role column.
  4. Select the desired user role.

 

Assigning a User to a Team

An activated user is someone you've invited to the company. All activated users can be assigned to one or more teams. 

To assign a user to a team:

  1. Click Directory from the left navigation.
  2. Locate the intended user (you may need to search for them first).
  3. Click the dropdown in the Teams column.
  4. Check the box on any number of teams.
  5. Click Ok.

 

Removing Users from the Directory

If a user no longer needs access to Ninety, you can either deactivate or delete their profile from the Directory. 

Deactivating Users

Deactivating a user changes their user role to Observer. Follow these steps to deactivate a user:

  1. Click Directory from the left navigation.
  2. Click their name (you may need to search for them first).
  3. Click Deactivate User.

Result: Their name is still on the Directory, they can view their team's tools, and they're visible as an option for Seats on the Org Chart. You can reassign their license or change your license account.


Deleting Users

Deleting a user completely removes them from your account so they no longer have a login and are not seen on the Directory. Follow these steps to delete a user:

  1. Click Directory from the left navigation.
  2. Click their name (you may need to search for them first).
  3. Click Delete User.
     

Result: Their name is removed from the Directory completely. You can reassign their license or change your license account.

 

What Happens to a Deleted/Deactivated User's Content?

All incomplete items (Rocks, To-Dos, Issues, and Headlines) remain on the team it's assigned to, so other team members can reassign them. All archived content will remain in the archive still owned by the previous user.
